ProofClerk stores merchant-provided custom order records so merchants can organize proof, approval, production, fulfillment, and packet history.

What ProofClerk stores

Workspace records may include merchant profile details, customer contact information, order details, proof files, approval decisions, revision requests, production notes, fulfillment evidence, packet exports, audit events, billing state, and transactional email logs.

Customer approval forms disclose that name, email, decision or request, timestamp, IP address, and user agent may be saved with the merchant order record.

How records are used

Records are used to organize merchant evidence packets, maintain audit history, operate workspace access, process billing state, and deliver transactional lifecycle email when configured.

ProofClerk does not sell customer records. Tokenized approval and packet links are scoped, expirable, and can be revoked.

Workspace controls

Workspace owners and admins can set a retention policy, generate a workspace JSON export, and redact customer PII while preserving evidence and audit integrity.

Redaction revokes active approval tokens and active packet share links for affected cases. It does not hard-delete evidence rows needed for merchant records.
